Ghost Clients: A 3-Step SMS Automation to Get Sign-Ups Through Your Studio’s Door

Blog cover reading “Turn ghost clients into first-timers with three simple texts,” surrounded by app screens showing a three-text sequence over 10 days, a list of sign-ups who never visited, and a text offering a beginner class spot.

The sign-ups you’ve never had time to chase

Quick question: if you wanted to text everyone who signed up with your studio but never came to a single class, could you pull up that list right now?

For most fitness and wellness studios, the answer is no. These are your ghost clients: people who filled out a lead form, created an account, or even bought an intro offer, and then never showed up. They’re scattered across your booking software, lead forms, online intro offer sales, Instagram ads, and DMs. Pulling them into one clean list takes an afternoon of exports and spreadsheets nobody has, so it never happens. No list means no follow-up, and those sign-ups quietly disappear. (Already have a list? More on that below.)

That’s a shame, because they’re not strangers. They found your studio, liked what they saw enough to hand over their name and number, and fully meant to come in. Something just got in the way: a busy week, first-class nerves, or not knowing what to expect. Getting one of them through the door is far easier than finding someone new. But finding them all takes time most studios just don’t have.

THE SHORT ANSWER

To turn ghost clients into first-time visitors at a fitness or wellness studio:

1

Build a list of people who signed up, filled out a form, or bought an intro offer but never attended a class, leaving out anyone who’s already been in and anyone who opted out.

2

Send three personal texts over about ten days, each with a different angle.

3

Answer replies fast and book them into their first class, stopping the automation the moment they reply or book.

Why text ghost clients instead of emailing them?

Because your emails are competing with every other studio, brand, and sale in their inbox, and a lot of them never get opened. A text feels like it came from your front desk, not your marketing team. It’s short, it’s personal, and replying takes five seconds.

That’s what makes SMS so good for ghost clients. You’re not sending a promo blast. You’re starting a conversation, the same kind of “Hey, we saved you a spot!” your best studio manager would say at the desk.

⚠️ Before you text anyone: check consent

This part isn’t optional. Text marketing is regulated, and old lead lists are exactly where studios get into trouble.

!

In Canada, CASL requires consent for commercial texts, and the implied consent you get when someone fills out a form or creates an account doesn’t last forever.

!

In the US, the TCPA generally requires written consent before you send marketing texts.

!

Every text should identify your studio and make it easy to opt out (for example, “Reply STOP to opt out”).

If you don’t have valid consent to text someone, don’t. Email them if you’re allowed to, or leave them alone. Keeping consent and opt-outs recorded in your CRM makes this easy to check before anyone goes on the list.

STEP 1

Build your ghost client list (and keep real clients off it)

The whole campaign lives or dies on who’s on this list. Text the wrong people and you’ll annoy your members, waste messages, and possibly break the rules.

START WITH PEOPLE WHO

✓

Filled out a lead form, created an account, or bought an intro offer in roughly the last 12 months

✓

Never attended a single class

✓

Have valid consent for texts on file

THEN TAKE OUT

✕

Anyone who has attended a class, including members and class pack holders

✕

Anyone with a class already on the schedule, or on a waitlist

✕

Anyone who opted out or asked you to stop

✕

Anyone your team is already chatting with

That second part is the one that matters the most. If your sign-ups live in one app and your attendance lives in another, it’s very easy to send a “come try your first class!” text to someone who’s been in the 7am class all month.

Already have a list? Run it through the “take out” checklist above before you send anything.

If you can, split the list into a few groups. Someone who bought an intro offer and never redeemed it needs a different message than someone who just filled out a form, and someone who booked and no-showed needs a different one again. Splitting by modality helps too. A barre sign-up and a cycle sign-up care about different things.

STEP 2

Send three texts over ten days

Three texts is plenty for a ghost client sequence. Any more and it starts to feel like spam. Each one should do a different job.

DAY 1Make the first class feel easy

Hi Sam, it’s Jess from [Studio]! You signed up with us a little while ago, but we haven’t met you yet. Our Saturday 9am beginner reformer is a great first class, and I’m happy to hold you a spot. Want one? Reply STOP to opt out.

Mentioning what they signed up for makes it personal right away. Then take the guesswork out: suggest one specific, beginner-friendly class and offer to save them a spot. “Just checking in” doesn’t give anyone a reason to reply.

DAY 4–5Show them what to expect

This was Saturday’s 9am crew 👇 [photo] Lots of them were nervous before their first class too. Your intro offer is still waiting whenever you’re ready: [link]

This is the spot for a picture message. A lot of ghost clients never show up because walking into a new studio feels intimidating. A photo of a real class, your space, or a smiling instructor shows them exactly what they’re walking into, which a paragraph of text can’t do.

DAY 10Give them an easy out

Hi Sam, I don’t want to keep bugging you! Should I close your file, or would you still like to come in for your first class this month? Either answer is totally fine. 😊

A “breakup” text often gets the most replies, because it gives people a simple choice and no pressure.

TIPS FOR STUDIO TEXTS

✓

Send late morning to early evening, never late at night. Weekends work well too.

✓

Use their first name, and mention the class, offer, or modality they signed up for.

✓

Keep every text to two or three sentences.

✓

Sign with a real person’s name, like your studio manager or a favorite instructor. People reply to Jess, not to “The Team.”

STEP 3

Turn replies into first bookings

The texts start the conversation. What happens next decides whether that person actually walks through your door. When someone replies, three things should happen right away:

1

The automation stops.

A person should take over from here. Set an exit clause to get them out of your automation and into a different audience.

2

Someone on your team owns it.

Assign the reply to your studio manager or front desk lead so it doesn’t sit in a shared inbox all afternoon.

3

They get an answer fast.

Ideally within the hour. A ghost client who finally replies and then waits until tomorrow can vanish all over again.

Then make booking easy. Offer two specific classes (“Want Saturday 9am with Maya or Tuesday 6pm with Chris?”) instead of “When works for you?”, or send a direct link to the schedule. Once they book, send a quick “what to expect” message (what to wear, when to arrive, where to park) so first-class nerves don’t turn into another no-show. Then move them into your new-client welcome flow, the same way you’d treat any first-timer you’re trying to convert into a member.

Not every reply will be a yes, and that’s fine:

“Not right now”

Move them to an occasional email list and note when to check back.

“Please stop” or STOP

Remove them immediately. Set your automation to do that automatically.

A question

“Is it okay if I’m a total beginner?” “What should I bring?” It’s a great sign. Answer it like you would at the desk.

What mistakes keep ghost clients ghosting?

Most ghost client campaigns that flop make one of these:

✕

Building the list by hand. By the time the spreadsheet’s done, it’s already out of date, new sign-ups need to be added, and it rarely gets done a second time.

✕

Texting people who already come in. Nothing says “we don’t know who you are” like a “come try your first class!” text to someone who’s been in three times this week.

✕

Sending too many texts. Three is plenty. A fifth reminder is how you rack up STOP replies.

✕

Writing like an ad. “🔥 LIMITED TIME 50% OFF 🔥” reads like spam. Write the way your front desk talks.

✕

Being generic. “Come try a class!” works a lot worse than mentioning what they signed up for and suggesting a specific beginner class.

✕

Letting replies sit. If nobody answers until tomorrow, the campaign was for nothing.

✕

Running it once. New ghost clients appear every week. This works best as an always-on automation, not a one-time blast.

How do you know if it’s working?

Keep an eye on a few numbers:

Reply rate: How many people texted back.

First bookings: How many people booked their first class from the campaign.

Show-up rate: How many of those bookings actually walked through the door.

Intro-to-member conversion: How many first-timers went on to buy a class pack or membership.

Link clicks: How many people tapped your schedule or intro offer link. Link tracking makes this easy to see.

Opt-outs: A few are normal, but a spike means your list or your message needs work.

First visits and conversions are the numbers that really matter. A campaign that gets fewer replies but more people through the door is the better one.

Put your ghost client follow-up on autopilot with LenzVU

You could run all of this by hand with a spreadsheet and the studio phone. Realistically, it falls apart the first week your front desk is slammed with a sold-out schedule, and the list alone eats an afternoon every time you rebuild it. And when sign-ups, texts, and attendance live in three different apps, the most important part, keeping people who already come in off the list, is nearly impossible to get right.

LenzVU brings it all into one place. Instead of a one-time blast, you can set ghost client follow-up as an always-on workflow:

YOUR ALWAYS-ON GHOST CLIENT WORKFLOW

1

Someone signs up but never shows.

A new account, lead form, or intro offer goes a set number of days without a first visit, say 7 or 14.

2

They’re added to your audience.

LenzVU adds them to your ghost client audience automatically, skipping anyone who’s already attended, has a class booked, or opted out.

3

The texts go out.

The three-text sequence goes out on schedule, with your class photos and beginner-friendly offer.

4

Replies go to your team.

The moment they reply, book, or buy, exit conditions stop the texts and a task goes to your team.

5

You see the results.

Reporting shows how many ghost clients made it to their first class each month.

Set it up once, and every sign-up who goes quiet from here on gets a friendly nudge through the door, without anyone at the desk having to remember.

Your next members already signed up

That list of ghost clients isn’t dead weight. It’s people who found your studio, liked it enough to sign up, and just needed a nudge and a little reassurance to walk through the door. Plenty of them would say yes to the right text at the right time.

You don’t need a big campaign to find out. A clean list, three thoughtful texts, and fast replies will bring some of them in. Set it up as an automation, and it keeps doing that every month, without adding a single task to your front desk’s already full day.
